Automating Order Tracking and Vendor Communication

 The company manages a large pipeline of new car orders, ranging from 30,000 to 50,000 units at any given time. Tracking the status of these orders—covering production, shipping, customs, and delivery—was previously handled exclusively through manual email exchanges with vendors. Employees were required to send frequent update requests, follow up on unanswered messages, and then manually record the responses in a central database. This process was highly time-consuming, prone to delays, and often resulted in incomplete or inconsistent information across the organization.

 To address this challenge, we developed a custom automation platform designed specifically for vendor communication and order tracking. The platform automatically generates and sends structured update requests to vendors, processes their replies, and updates the central database in real time. If a vendor does not respond within a defined timeframe, the system issues automated follow-ups to ensure continuity.

 This purpose-built solution ensures timely updates, provides a clear and reliable view of delivery schedules, and enables seamless internal tracking of asset availability and status. Most importantly, it significantly reduces the manual effort required from employees, freeing up time and resources while improving overall accuracy and efficiency in order management.
